When booking you must tick the box that states you are agreeing to all the full terms and conditions given here.
In these terms and conditions, “event” is used to refer to all events, workshops and trainings offered through this website.
By signing up for the event you agree to all the terms and conditions laid out below.
Information emails
We will send one or more emails with information before the event and it is important that you read this before attending. During the event there may be a mixture of topics and it is your responsibility to ensure you fully understand the overall content of any workshop you are attending and what interaction / connection there will be between you and other participants. If you have any questions or uncertainties you should talk to the facilitator.
Arrival Time
Please aim to arrive according to the information and instructions made available for each event and in booking you are giving your agreement to this. If you will not be able to, it is important you let the event organiser know before hand so that they can discuss this with you to see if there is a way you will still be able to attend. It is important that you do this before booking as once booked, we may not then be able to offer you a refund if it turns out you will not be able to attend the event. .
Attendance
In order to create a safe and supported space, we only offer booking for the duration of an entire event. By signing up you are committing to attend for the entire published event. If you are not able to stay for the entire event you agree to let the organiser know before hand (unfortunately we will not be able to offer you any discount on the ticket price.)
If during the event you feel you have to leave, then you agree to talk to one of the event facilitators before going. This allows us to to meet fire regulations etc and also to help you with your emotional well being.
Safety
You are responsible for your own physical, mental, emotional and sexual well-being and safety during the event. This includes notifying us at registration of any conditions that may impact on others or your safe participation. Likewise, you are responsible for your own safe practice during the entire event. Any activity you choose to participate in is deemed to take place between consenting adults. Although we aim to create safe and supportive spaces in all parts of the event, no direct liability can be accepted by us for your well-being and safety. We will always try to ensure during the event that there is a support mechanism for you to use with your physical, emotional and sexual well-being, however the primary responsibility of self care is yours. If you have a support person / carer in your day to day life we would strongly recommend that you consider them coming with you to the event. Diana as the organiser and the venue are not, and will be not held liable for any assumed damage that is deemed to occur at any time.
Conduct
Any form of aggressive, inappropriate or threatening behaviour towards facilitators, venue staff, volunteers or other participants will not be tolerated. Any such behaviour will be addressed and if not rectified immediately will result in you being asked to leave. You may also be turned away from future events.
Property
You are responsible for taking home everything you brought with you to the event. If you leave something behind, please contact us as soon as possible. We will endeavour to keep lost property for about one month before donating or recycling it.
Payment
We need to have received and processed your payment in full before your place at the event is fully confirmed. If paying by card using the online booking system, this usually happens within 10 minutes and you should receive an email from the payment agent confirming the payment has been accepted. If there are any issues with your payment, we will contact you (usually within 2 working days) to let you know and to help you complete your transaction. If you are paying by other means (bank transfer) we will generally confirm by email when the transaction has cleared and your booking is valid.
A place in a group session / event is held for you on the acceptance of a non-refundable deposit. Outstanding balance is required to be paid in full 2 weeks prior an event or 48 hours for selected group sessions. If you cannot attend the group session / event please see Refund/Cancellation section.
One-to-one treatment is only secured on the acceptance of a completed payment. 48 hours’ notice of cancellation or postponement is required for all one-to-one treatments.
Payment plan – For some events there may be a chance to pay in instalments by using a payment plan. If you are paying this way your place at the event is held for you, but we reserve the right to cancel it if you fail to complete the full payment schedule before the start of the event. If you fail to pay the full amount of your payment plan any refunds will be subject to the terms and conditions shown below under the section Refunds / Cancellations.
The first payment must be made in order that the last payment is received at least 2 weeks before the event date. Please be aware that the total amount you pay may be higher than if you paid in full when booking, this is to cover additional processing and administration costs.
Refunds / Cancellations
If you have booked but are then no longer able to attend the event, please contact us by email or via the website as soon as you know. Provided you contact us at least 1 week before the event, we will offer you a full refund minus the non-refundable deposit. If you cancel between 7 – 2 days before the event we will refund 50% of what you paid (minus the non-refundable deposit). If you cancel less than 2 days before the event no refund will be offered. In all other cases, including but not limited to bookings made less than 2 weeks before the event and money already paid by a payment plan, we will not be able to offer you any refund once you have made the booking (as we will have already made commitments and paid funds to the venue, etc.) If we have to cancel the event, we will aim to give you at least one months’ notice and we will return your booking fee in full.
If you cannot attend and inform us within the 7 – 2 days before the group session / event, the payment can be transferred to another similar group session / event in the future with sufficient notice from the participant about the chosen group session / event – minus the deposit. Unforeseen events will be taken into consideration on the day.
48 hours’ notice of cancellation or postponement is required for all one-to-one treatments. Notice of less than 48 hours will incur full payment of the treatment fee. Unforeseen events will be taken into consideration on the day.
Exclusion
In general we will only exclude people if they breach the terms and conditions or they fail to comply with the event ethics. However we reserve the right to exclude anyone from attending the event, without stating the reasons for doing so.
Privacy
All information you give when booking for the event is used as part of the process necessary for the booking. You are automatically subscribed to the relevant mail list(s) on matrixalchimia.com so as you will receive items of email that we feel may be of interest. You can modify your subscription or select to unsubscribe at any time. All information you give us is held according to UK data protection guidelines but we cannot offer any legal warranty that your information is secure. We will not let anyone know you attended the event and expect the same conduct of all people who attend the event. For residential events, your contact information will generally be given to the venue as part of any legal requirement for them to have this. We may also ask you for emergency contact information and if so this will be destroyed shortly after the end of the event. All personal information about the participant is confidential.
We respect the privacy and confidentiality of all who attend our events and expect all participants to also follow this with respect to everyone involved with this event.
Photography
As part of the privacy policy you also agree that you will not take any photographs or videos by any means during your stay at the event. When you are in a private space with someone, if consensually agreed, you are welcome to take photographs / videos for your own personal and private use, however you agree not to post or display any photographs, videos or other images taken at the event in any public space (such as but not limited to, social media sites, photo sharing websites, news forums etc) without first obtaining permission from matrixalchimia.com
We may take some official photographs for publicity purposes, but if we do so we will make it clear when we are doing this and everyone has the right not to be photographed. Any photographs we do take will be made available for you to check before being made public. You have the right to request any with you in not to be used (or cropped to remove you from the image if at all possible.)
Downloads
All downloads of any nature purchased from this website (www.matrixalchimia.com) will not be refunded once they have been sent either as an attachement or a direct link for download to the buyer’s designated email address.
